A conversation about what the system has to do, who uses it and what it has to talk to. You leave with a written specification: screens, roles, data model, integrations, and the exact list of what is not included.

We agree what data lives where, who may see it, and how anything existing gets migrated. Credentials and third-party accounts are opened in your name before a line is written.

//01 Why not just buy a ready-made tool?
Because often you should, and we will say so on the scoping call rather than sell you a build you do not need. Owning the software earns its price in three situations: your process has a step no standard tool has a field for, per-seat fees have grown past the cost of building once, or the data cannot sit on somebody else's infrastructure. If none of those is true, buy the tool.
//02 How many people can use it?
As many as you employ. There is no per-seat licence and no upgrade tier: adding the eleventh user costs the same as adding the third, which is nothing. That is usually where a custom build overtakes a subscription on cost.
//03 Our process changes. Can the system change with it?
Stages, fields and roles are configuration rather than hard-coded conditionals, so renaming a stage or adding a field is an afternoon, not a rebuild. Structural change — a new record type, a new report — is a small quoted project, or it comes out of the change hours on a monthly plan.
//04 What happens to our spreadsheets?
They are imported as part of the scope, cleaned up in the process, and then kept as a read-only archive for a while so nobody panics. Historical data is rarely tidy; the quote assumes that and includes the reconciliation.
//05 Does the price cover integrations with our other systems?
No, deliberately. This package covers one coherent system: records, stages, roles, screens and reports. Connecting it to an accounting package or a warehouse is a separate scope, quoted on the integrations page, so neither price has to hide the other.
