[01/06] > Service //02 · Accounts and documents

Your clients stop asking where things are.

A logged-in area where each client sees their own documents, requests and status. It replaces the mailbox thread nobody else can read, and it records who saw what and when.

A portal your clients
can actually use.

Built around the two questions clients ask most: where is my document, and what is happening with my request.

//01Invite or open

Accounts and sign-in

Registration or invite-only access, password hashing, session handling and account recovery: the whole identity surface, built properly.

//02Server-enforced

Roles and permissions

Who sees which client, which document and which price is decided by you and enforced on the server, not hidden in the interface.

//03Versioned

Documents

Upload, storage, versioning and downloads, with file types and size limits you set and a record of every download.

//04Your stages

Requests with a status

Clients submit a request and follow it through the stages you name, so nobody has to email to ask.

//05Email

Notifications

Email when a document appears or a status changes, formatted properly and logged where you can find it again.

//06Immutable

Audit trail

Who logged in, who opened what, who changed a status: an immutable record for the moment a client disputes something.

[03/06] > Fit

Honest fit.
Before you pay.

Choose Client Portal if

  • //01Clients email to ask for documents you already sent.
  • //02You send files that should not sit in an inbox for years.
  • //03Different clients must never see each other's data.
  • //04You need to prove who saw a document and when.

Look elsewhere if

  • //01Nobody needs to log in and you only want enquiries → Business Site
  • //02The logins are for your own team, not clients → Operations System
  • //03You need an online shop with checkout and stock.
  • //04You have not decided who may see what.

Brief to handover.
The same four steps.

  1. //01 Day 1

    A conversation about what the system has to do, who uses it and what it has to talk to. You leave with a written specification: screens, roles, data model, integrations, and the exact list of what is not included.

  2. //02 Days 2–3

    We agree what data lives where, who may see it, and how anything existing gets migrated. Credentials and third-party accounts are opened in your name before a line is written.

  3. //03 Days 4–12

    The build happens on a staging URL you can open at any time. Progress is visible daily rather than revealed in a single handover at the end.

About this package.

//01 Can clients sign in with the accounts they already have?

Often, yes. If your clients live in Microsoft 365 or Google Workspace, sign-in can go through those instead of yet another password. Tell us at the scope call and we confirm before quoting; we do not promise an integration we have not verified.

//02 What stops one client seeing another's documents?

Every query is filtered by the account making it, on the server, and files are served through short-lived links tied to that account rather than guessable URLs. The rule is written into the specification and it is the first thing we test before handover.

//03 Where do the files live?

In object storage on your own account, in the region you choose, served through short-lived links rather than public URLs. The files are yours, and so is the bill for them.

//04 Can clients upload, or only download?

Both, if you want it. Upload with the file types and size limits you set, a virus scan on arrival, and a notification to whoever on your side has to look at it. Some portals are read-only by design; that is a decision you make at the scope call, not a limitation.
